The QOTN Organisers Network
Plan together.
Clash less.
One private calendar for everyone running LGBTQIA+ events in the North East. See what's on before you book a date, pencil in nights before you announce them, and team up with organisers on the same night.
What you get
The clash calendar
Every member's events and pencilled-in dates in one month view, with clashes flagged before you commit.
Pencil in dates
Hold a night before you announce it. Only other members see it, so no one books over you.
Team up
Spot nights that link up, like a drag show into a late rave, and contact the organiser about joint tickets.
Get listed
Send your events to QOTN's weekly What's On for free, or ask about an advance listing on our homepage.

Questions
Who can see my pencilled-in dates?
Only signed-in members. Holds never appear on the public website.
Will my events go on QOTN's What's On?
Only if you tick the box. They're added in the week they happen, never before.
Can I add events I'm not running?
No. Please only add events you're producing, so the calendar stays accurate.
Who sees my contact details?
Only what you choose to show in the directory, and only other members.
Trial terms
- The trial. The portal is free during the trial, which runs until 31 March 2027. Before it ends, we'll tell you if there'll be a small annual fee and how much, and you can choose whether to continue. Nothing is charged automatically and we don't collect any bank details on sign up.
- Who can join. The portal is for people who produce LGBTQIA+ events in the North East. We approve each member, and we can decline or end a membership if these terms aren't followed.
- Your login. Each organisation can have up to 2 logins. Your sign-in is just for you, so please don't share it. A teammate can apply for the second login using the same organisation name.
- Your events. Only add events you're producing. Keep details accurate, and mark events as cancelled if they're not going ahead.
- Your events are your responsibility. You're responsible for your own events, including accuracy, venue, licensing and safety. QOTN lists them but doesn't run them.
- Holds are confidential. Pencilled-in dates you see from other organisers are private. Please don't share them or announce them before the organiser does.
- The directory. Only use other members' details to talk about events: no mailing lists, sales messages or passing details on.
- Promotion. Weekly What's On listings are free, and we may edit the wording or decide not to list an event. Homepage listings are only confirmed once we've agreed the price with you and you've paid. By ticking What's On or requesting a homepage listing, you allow us to use that event's details, and share its link, on our website, newsletter and social media.
- Changes. The portal is new, so features may change during the trial. We'll tell members about anything significant.
- No guarantees. We'll do our best to keep the portal running and accurate, but the calendar is a planning aid. Please check details directly with other organisers.
- After the trial. If you don't continue, we delete your account and directory details within 3 months, along with any events and holds you've added.
- Leaving. You can leave any time by emailing hello@queersofthenorth.com. How we handle your data is set out in our Privacy Policy.

Help
What's the difference between an event and a hold?
An event is confirmed: date, venue and tickets are set. A hold pencils in a date you're planning but haven't announced. Both show on the members' calendar, so others can avoid clashing. Holds never appear on the public website.
What do Clash, Same Day and Back-to-Back mean?
Clash: two organisers' events overlap in time. Same day: two events are on the same day but don't overlap, or one doesn't have times yet. Back-to-back: one event ends within 90 minutes of another starting, which could be a chance for a joint ticket or a shared crowd. The flags only compare different organisers, never your own events.
Will adding a clashing date be blocked?
No. The calendar is there to help you plan, not to stop you. If you spot a clash, the directory has other organisers' contact details so you can talk it through if necessary.
How do I add a repeating event?
Add the first date, then press + Add another date for each extra date (it starts a week later; change it if needed). Each date can then be edited, cancelled or deleted on its own under My Events, or all at once with Delete all dates.
How do I get my event on QOTN's What's On This Week?
Tick QOTN Weekly What's On when you add it. We add it to the page in the week it happens, never before. It's free, and we may edit the wording to fit the page. Changed your mind? Use Promote next to the event in My Events to add or remove it later.
What's an advance homepage listing?
A paid listing on our Homepage and Events page ahead of your event to help build momentum. If you're interested in exploring these packages, tick the box when you add the event and we'll email you the price and next steps. Nothing is charged until you agree. You can also request one later with Promote in My Events, which shows where your request is up to.
What if my event is cancelled or moves?
Go to My Events. Use Edit to change the date or details, or Mark cancelled so others know the night is free again. Please don't leave cancelled events looking live.
Who can see what?
Only signed-in, approved members can see the portal. They see every event and hold on the calendar, with the organisation's name and details like capacity. None of it appears on the public website unless you tick QOTN Weekly What's On or ask for a homepage listing. In the directory, members only see the details you choose to show under My Profile.
Can I add other people's events?
No. Please only add events you're producing, so the calendar stays accurate. If you know of an event that's missing, ask that organiser to join.
How do I sign in?
Enter your email and we'll send a 6-digit code. There are no passwords. Codes last 10 minutes; check your junk folder if one doesn't arrive.
How long are events kept?
Events and holds are deleted automatically 12 months after their date.
